The following are some commonly asked questions about the EMR Extractor (Purkinje Edition)

Can you really get all the Notes out of the Database ?
Absolutely!!  We have been working with Purkinje themselves to get as much of your data out of the Dossier database as possible.  Not only do we get the notes - we reconstruct them into the same sections as you would see in the Purkinje Dossier screens.  We lose a little of the formatting of the individual paragraphs - but all the text is there!!  Click here to see some screen shots of the notes in both the Dossier system and our converted data viewer.

 

What exactly do you get out of the Purkinje Dossier System?

We get all the clinical notes, images and labs.  We also extract patient demographic information, allergies, problems, immunizations and medications.  In fact we even combine the demographic information from Rise and Purkinje Dossier systems to give you the most complete patient information possible.  From the Rise system we extract all the scheduled appointments - allowing you to easily keep your appointments when converting to another EMR System. 

What about the Images and Scans in the database ?
We are able to extract all the images from the Dossier system using utilities written by Purkinje themselves.  We then rematch them to documents - and transfer them into the converted data database.  Because of this we are able to keep all the meta data associated with the images and scans - unlike other dump and import systems.  

How do you deal with the imported lab results ?
We read the Lab results out of the Dossier system as HTML files - and fix the errors with the HTML - and then import them into the converted data database.  This ensures that not only do we get the labs - but that we have made them as viewable as possible - closely matching the view in the Dossier system.

What exactly is the service that you provide ?  What do I get from the process? 
A good question.  We provide an extraction service that gets as much of your data out of the Purkinje Dossier system as possible.   No one else can get as much of data from your notes, images and lab results as we can!  We take this extracted data and import it into a standard, well documented database that any vendor can then import to their system. 

We are not responsible for the import into the vendor's system - but we have worked closely with a number of them to insure that this process goes smoothly.  

At the end of our part of the conversion - we provide you and your vendor with a copy of our database layout with all your extracted data.  As well, we provide a Extracted Data Viewer - which is a small program that allows you to view the converted data that we have extracted.  This allows you to check the converted data - and in the future if there are any problems with the data after being imported into your vendor's EMR - you can easily view the data in the Dossier system, our converted data and your new EMR to see at which step the problem occurred.  This viewer can also help you meet your requirements in regards to medical records in Canada.

How Long does it take to extract my data out of the Purkinje Database ?
It is not a quick process and usually takes between 48 and 72 hours to extract the data out of the Purkinje Dossier system.  Then there are transfer times to get the data to us and then back to you (or your vendor).  This is usually done by courier because the Dossier databases are usually over 3 or 4 GB in size and this can take a long time to transfer via the Internet.  

Do you work with the Vendor I want to convert to ?
We are Vendor Neutral.  We will work with any vendor to help you get your data converted.  We provide your data to your vendor of choice in a clear and well documented database structure that any vendor should be able to import into their EMR system.

How do I know you have gotten all the data in the conversion ?
This is an issue with any conversion.  How do you tell if all the data was transferred?  There is no simple answer - as all conversion processes are not perfect.  However, we  have worked with Purkinje themselves to get as much as your data as possible from the Dossier system.  We also provide you with an easy to use viewer that allows you to spot check the converted data - notes, images, labs, allergies, problems, medications and scheduled appointments.  This is something we recommend to all our clients!!  You should spot check the conversion before importing it into you new EMR - and we provide the tools to do so! 


Ok - you have converted my data to your database - now what ?
So - now you have your data extracted out of the Dossier database - which is the biggest issue in converting from the Rise/Purkinje system.  In fact - you will have it in a clean, easy to access database.  This database is also very well documented - with each table and field documented as to what it contains.  This will prove very useful to your vendor of choice when importing it into their EMR system.  We will also work with your vendor - answering questions about the data structure, etc to make sure they get the data imported into their system as well as possible.

 

What does the conversion fee cover ?  Am I looking any hidden costs?
The conversion fee covers the actual conversion of the database.  It covers questions from your vendor of choice about the database we will deliver to them and the data container there in.  Included as well is the Converted Data Viewer - so that you can view the converted data if you so choose.  (Note - you would need to have an MS SQL server to restore the database to - to be able to view it).  It does not cover costs such as courier charges to get the data back and forth quickly to minimize your downtime or any additional work that might be required by your vendor to complete the process.  We have a policy of reviewing any additional work with our clients and getting approval in writing before proceeding.  This way you can be assured of what your costs are and what you are being billed for.
